Introduction: Holidays in Unanet can be used to create and maintain a set or multiple sets of Holidays that will be available in the system. These holidays can then appear automatically as users open up a new time sheet which contains a holiday date.

Description:

There are two steps to configuring holidays. When these two steps are completed, holidays will autopopulate in the timesheets of those assigned.

  • The first is to set up Holiday schedule on the Admin > Setup > Time > Holidays tab. Holidays require manual date input for each new year, as they are not set up in the system to repeat annually. 
  • The second step is to create Assignments to the Holiday project. There are several choices you have available to you as you consider how to make your assignments:

Organization Assignment

Pro: Assignments only have to be created upon system initialization or as people Organizations are added (which happens only as often as you add departments or restructure). You do not have to create an assignment every time you onboard a new employee.

Pro: Assignments are made for multiple people within an organization.

Con: No cap of hours or date control is employed. users have the flexibility to move or add hours to any day in the pay period they wish.

People can work on holidays and move the holidays to other days as desired, without approval from managers or HR, as long as they do not exceed x hours per year (where x may equal 80, if there are 10 holidays in the year.)+Assignment or Assignment import, with date range of 1/1/YY - 12/31/YY and budget of x hours.

Pro: Hours are capped at x hours per year. (where x typically equals 80)

Pro: Multiple people can easily be assigned at once

Con: Assignments must be created each year (which takes minimal time, probably under 15 minutes)

People can only get holidays on the date of the holiday unless they have approval of their manager or HR.

+Assignment or Assignment import, with date range for each holiday. For example, 1 person would have 10 assignments per year. For a Jan. 1 holiday, they would have a holiday with date range of 1/1/YY-1/1/yy. For a July 4 holiday, they would have a holiday with date range of 7/4/YY-7/4/YY. This enforces that they cannot move the holiday. Optionally, the hours can also be capped at 8/day (8/assignment).

Variant of Org Assignments with Tasks as Holidays

The variation below combines Org Assignments to the Holiday project with Tasks set up by Holiday and Task Dates specific to that Holiday. The benefit is that you do not need to create a new assignment for every new employee you onboard, while still having users to have autopopulated holidays restricted to a certain date.

  • Create an isolated Holiday Project.
    • On the Profile tab, check "Require Tasks for Time Reporting."
    • On the Budget tab, check "Enforce Project/Task Dates."
    • Create a task for each holiday and input holiday specific dates for each Task. 

    • Under People Assignments, Assign all Orgs.


  • In Admin > Setup, create Holidays at the task level.

 

  • Pros
    • Assignments only have to be created upon system initialization or as Person Organizations are added (which happens only as often as you add departments or restructure). You do not have to create an assignment every time you onboard a new employee.
    • Assignments are made for multiple people within an organization.
    • Date restrictions are enforced.
    • Minimal setup required (task dates must be updated each year to reflect the appropriate dates for that specific year).


  • Cons
    • No cap is enforced on the hours charged to a specific holiday; users can enter more than 8 hours on each holiday.
      • Can be mitigated with a Project Approver or Manager approval attention.
    • Assumes all people owned by an Organization are allowed to record holiday time.
      • Can be managed via Pay Code restrictions by Employee Type (assuming Holiday project has a unique Pay Code).
    • Not ideal if users are able to "float" their holiday time (e.g., move Labor Day Holiday to another day without Admin edit).
