Introduction:
In Unanet terms, an Assignment is an authorization for a user to charge time or expense to a project or task. Assignments may include a budget of hours used for capping or budgeting charges, as well as for forecasting labor effort. 

Description:
In addition to authorizing a user to charge to a project, assignments may also be used to specify a user’s project-specific bill rates and cost rates, labor categories, period of performance dates, location, and cost element. assignments can be made directly in the project profile via Project > List > List tab > Edit Pencil Icon > People Assignments > +Assignment, via the Grid Plan feature, or via import. Assignments are available in various reports such as Time and Expense Reporting, Resource Planning, Project Reporting, Resource Reporting, and Project Accounting.

Without an assignment to a project, a person will not be able to charge time or expense to the project. (Unless of course, Self Assign has been enabled; see final screenshot.)

Important features of the assignment in the first screenshot below include:

  • Dates of Charge
    • This confines the person to charges within the specified dates.
  • Budget of Hours
    • This allows you to specify a estimated level of effort for the person which may be capped if desired via leaving unchecked the Allow Budget to be Exceeded option.
    • This also allows you to forecast the labor effort in the Reporting. In the Reporting, Assignment Budgets are generally referred to as "Budgets."
  • Labor Category
    • It is critical that you choose the appropriate labor category in the assignment. 
  • Bill and Cost Rates
    • The radio button defaults here are dependent upon the Project Profile Time tab settings as in the second screenshot below. When the assignment is created, it will default the bill rate to whichever setting you have specified in the Project Profile Time tab for bill rate. The same goes for cost rate. We recommend you default the bill rate to labor category and the cost rate to person on the Project Profile Time tab, although in some cases this may vary.

Navigate to Project > List > List tab > Edit Pencil Icon > People Assignments > List > Edit Pencil Icon.




Navigate to Project > List > List tab > Edit Pencil Icon > Time.



If the project profile Access tab has the Self Assign box checked, then a user may assign themselves to the project in the My Projects feature of their timesheets. We generally recommend that you leave this setting unchecked so that you can control authorizations to charge via the Assignments option in the project profile left menu. Navigate to Project > List > List tab > Edit Pencil Icon > Access.
