An assignment in Unanet is an authorization of an employee, consultant or contractor to work on a specific project or task over a specified time frame. This Quick Topic describes a few approaches to creating and managing Unanet assignments.

Types of assignments and when to use them

There are several options for creating and managing assignments in Unanet. The method that is best for your organization is dependent on a number of factors. Unanet users with the role of Administrator and/or Resource Assigner can create Assignments. (Note that Resource Assigners must have person/project permissions via Project Administrators or Person Organizational Access. See the additional topics below). The table below should help you choose the appropriate method for managing your assignments.

+AssignmentsThis type of assignment management is available for Project Time, Tracking and Portfolio clients and allows you to create one to many assignments through a simple entry screen.

This method is the most basic form of creating assignments and is typically used when creating a relatively small number of individual assignments to projects where you have a clear understanding of the assignees. The +Assignment link can be accessed when editing a project under the Assignments link at the left margin.

+Assignment with SearchThis type of assignment management is available for Project Time, Tracking and Portfolio clients and allows you to create one to many assignments through a simple entry screen with one added feature over the +Assignments method. You have the ability to search for specific attributes of the person you are assigning.

This method is similar to the +Assignment method with the added capability of searching for assignees with specific attributes of labor category, location, skill (with Portfolio license only) and availability. This method is used when you do not know the specific resource and are looking to find a resource based on the attributes listed above.

Grid AssignmentsGrid assignments are available for Project Portfolio licensed users and provides a 2 dimensional view of projects, tasks and resources on one axis and time periods on the other.

This method is most useful for project managers that are doing resource allocations to one to many projects and are trying to balance resources against available projects where the labor distribution for an individual is variable from period to period. For example, Susan Jones might work full time on a requirements task in January and reduce to half time in February. This type of variable loading can be managed in the grid assigner.

An added benefit of this method of creating assignments is the ability to display a colorized grid showing levels of utilization/availability of the individuals being assigned.

Assignments Generated from PlansThis method utilizes forecast resources in a two dimensional form similar to grid assignments followed by a function that creates the work assignments from those forecasts.

Many organizations support a process of forecasting resources across a budget year or quarter as a means of recording total resource requirements. These forecasts precede the actual assignment of those resources to projects, and are called "Plans". This method supports the capability of generating the assignments from the forecasts/"plans" at the appropriate time as defined by the organization.

An added benefit of this method of creating assignments is the ability to display a colorized grid showing levels of utilization/availability of the individuals being assigned.

Organizational AssignmentsThis methods supports the ability for an entire Person organization to be assigned to a project. Note that organizational assignments are only available for projects that are NOT managed at the task level. This option is greyed out (unavailable) for projects of this type.

This method of assignment is beneficial for projects that are open to large groups of employees where budgeted hours are not required. Many companies use this method of assignment for indirect projects such as vacation, sick, holiday, G&A or overhead. Any new user associated with the assigned Person Organization will automatically have access to record actuals to that project.
