Title: Displaying Custom Text Messages on the timesheet

Brief description:

Custom text messages may be set up and displayed on the Unanet timesheet for all users, or for a certain group of users such as Salaried or Hourly employees. Examples are general notification messages, certification statements, and signature blocks.

Configuring the System Properties

Time-related system properties are located under Admin > Properties > Time > Edit Settings. (Note: On Premise customers may also do this configuration in the text.properties file of your Unanet installation, but that is not necessary.)



There are three main properties for timesheet messages, each broken down by user type (Salaried Users, Hourly Users, Non-Employee Users, Non-Employee (PO) Users):

  • Timesheet Preview Footer 



  • Timesheet Edit Page Footer



  • Timesheet Submit Confirmation


Note
: HTML tags are acceptable in the Preview Footer and Edit Page Footer property boxes to format the text message. The Submit Confirmation property box does not allow HTML formatting.

Simply enter the message text in the box for the appropriate users, format as allowed, and click Save.

Setting up a Certification Statement

A preview footer is available to use for the display of a message upon preview of a timesheet. If printed, the text can serve as a certification statement.

A new Signature button will appear at the bottom of the editable and preview versions of the timesheet, which when clicked will display a modified preview version of the timesheet containing the supplied verbiage.


Here is an example using the property for a certification statement:



Once the property is set up and saved, open the timesheet.  Click Signature.  The message will display as shown below.



This is configured in the text.properties file by updating the following statements:

#timesheet.printview.footer.exempt=I hereby certify that I worked and properly recorded the hours indicated.

#timesheet.printview.footer.nonexempt=I hereby certify that I worked and properly recorded the hours indicated.

#timesheet.printview.footer.nonemployee=I hereby certify that I worked and properly recorded the hours indicated.

Setting up a Signature Block

A signature block can be set up and displayed on the timesheet, requiring the user's signature upon printing.

Here is an example using the property to include a line for the user's signature when printed:




Once the property is set up and saved, open the timesheet.  Click Signature.  The signature block will display as shown below.



Signature blocks can also be displayed in the Timesheet Status report. 

  • On the Timesheet Status Criteria page, go to the REPORTING OPTIONS section.
  • Select the check boxes for Detail View, Signature Footer, and Include page breaks in printed output.
  • Click Run Report.

This view will display the user timesheets along with the signature block in the report.

Setting up Custom Messages in Edit View

An edit footer message can be put on the timesheet to remind users of any custom message you would like.

Here is an example using the property for a custom message to display on the timesheet when in Edit mode:




Once the property is set up and saved, open the timesheet with the edit pencil icon. The message will display as shown below.



This is configured in the text.properties file by updating the following statements:

timesheet.edit.footer.exempt=Remember the Company Picnic is This Friday!

timesheet.edit.footer.nonexempt=Remember the Company Picnic is This Friday!

timesheet.edit.footer.nonemployee=Remember the Company Picnic is This Friday!

Setting up a Confirmation Message on Submit

A submit confirmation message can require that the user electronically sign or certify to the accuracy of the timesheet.

When the user clicks Submit, the confirmation dialog box is displayed containing the custom message. The user will be required to click OK to continue, or Cancel to return to the editable timesheet, thus aborting the Submit process.

Here is an example using the property for a custom message to display when the timesheet is submitted:




Once the property is set up and saved, when the user clicks Submit, the popup dialog containing the custom message will display as shown below.



This is configured in the text.properties file by updating the following statements:

timesheet.submit.confirm.exempt=I hereby certify that all hours are true, accurate and complete to the best of my knowledge.\n

timesheet.submit.confirm.nonexempt=I hereby certify that all hours are true, accurate and complete to the best of my knowledge.\n

timesheet.submit.confirm.nonemployee=I hereby certify that all hours are true, accurate and complete to the best of my knowledge.\n
