Question

Why are Time/Expense/Fixed Price Items not appearing on my invoice?

Not available for posting
  • Run the Timesheet Status report to ensure timesheets are in a LOCKED/EXTRACTED status.
  • Utilize the Labor Cost Details (Project Accounting) report to ensure Labor is associated with a Cost Structure and a Labor Cost Element.
  • Verify time Posting Options in Admin > Setup > Accounting > Posting Options; make sure these are in line with the dates you are specifying in the Post screen.
    • On the Post screen, make sure the dates in the "Include Actuals Through" section line up with dates of the labor.
  • Utilize the Project Transactions report to verify that the Labor: 
    • Is charged to a Project/Task that is TM or CP.
    • Is flagged as BILLABLE.
    • Has not already been posted/invoiced, the Project/Task is TM or CP, AND the Labor is flagged as BILLABLE.


  • Data in the POSTINGS section indicates the item has already been included in a Billing & Revenue Posting process.

  • Run the Expense Report Status report to ensure expenses are in a LOCKED/EXTRACTED status or ensure the Financial Document is Posted.
  • Utilize the ODC Details (Project Accounting) report to ensure it is associated with a Cost Structure and a Cost Element.
  • Verify expense Posting Options in Admin > Setup > Accounting > Posting Options; make sure these are in line with the dates you are specifying in the Post screen. 
    • On the Post screen, make sure the dates in the "Include Actuals Through" section line up with dates of the expense.
    • Utilize the Expense Details report to verify the Post Date and ensure the dates in the "Include Actuals Through" section line up with the Post Date.
  • Utilize the Project Transactions report to verify that the Expense:
    • Is charged to a Project/Task that is TM or CP.
    • Is flagged as BILLABLE.
    • Has not already been posted/invoiced, the Project/Task is TM or CP, AND the Expense is flagged as BILLABLE.


  • Data in the POSTINGS  section indicates the item has already been included in a Billing & Revenue Posting process.



  • Utilize the Fixed Price Details report to ensure the fixed price items are properly set up.
  • Verify the FP item has not already been posted.
    • For example, look for bill posts in the Billing & Revenue Summary report in the BILLINGS section under the UNBILLED. This represents Posted amounts.
  • If Billing the FP on Completion, verify that both Completed Date AND Completed Percent are populated for the project or task where the FP item is associated.
  • Verify that the dates of the Post screen allow for the FP dates.
Not available for Add Invoice
  • Verify Project Invoice setup configuration has GENERATE UNANET INVOICE selected (Project Profile > Billing > Invoice Setup).
  • Verify the "Through Date" on the Add Invoice screen aligns with the Post Date of the Labor in the Billing & Revenue Post.
  • Verify that the Labor is not on an existing invoice:
    • To check this, run the Project Transactions report and limit the results by selecting the project, person, date range (line item dates), posted dates BOT to EOT. For INCLUDE TRANSACTIONS select only Labor.
    • If time is on a draft invoice, there will be an invoice number but the dollar amount will be in the UNBILLED column.
    • If time is on completed invoice there will be an invoice number and dollar amount will under the BILLED column.
  • Verify Billing Post - if you go to the Billing Post, and the box is grayed out for the Project/Items you want to post, it is possible an invoice was created prior to posting these items. You may need to unpost the invoice that the project/item is related to in order to get it back into the Billing Post. You can then Add Invoice again to get these newly posted items into the invoice.
  • Verify Project Invoice setup configuration has GENERATE UNANET INVOICE selected (Project Profile > Billing > Invoice Setup).
  • Verify the "Through Date" on the Add Invoice screen aligns with the Post Date of the Expense in the Billing & Revenue Post.
  • Verify that the Expense is not on an existing invoice:
    • To check this, run the Project Transactions report and limit the results by selecting the project, person, date range (line item dates), posted dates BOT to EOT. For INCLUDE TRANSACTIONS only select Expense Reports.
    • If expense is on a draft invoice, there will be an invoice number but the dollar amount will under the UNBILLED column.
    • If expense is in completed invoice there will be an invoice number and dollar amount will under the BILLED column.
  • Verify Project Invoice setup configuration has GENERATE UNANET INVOICE selected (Project Profile > Billing > Invoice Setup).
  • Verify the "Through Date" on the Add Invoice screen aligns with the Post Date of the Fixed Price Item in the Billing and Revenue Post.


Note: If all of the conditions from the Help guide (Help Docs - Billing & Revenue Post) and the chart above are met, and if the items are not showing on the invoice, check to see if the property Use Financial Organizations is deselected (Admin > Properties > Financials > General) but the property Post to General Ledger is selected (Admin > Properties > Financials > General Ledger). If that is the case, associate the project's Owning Org to a Legal Entity.
